Rescheduling a Missed Exam for Disability/ Medical Related Reasons

Student Accessibility Services and Lakehead University's intention is for students to write exams at the same time as the rest of their class. This ensures academic integrity and equity. SAS does not reschedule regularly scheduled exams unless there is a disability/medical related reason for the change. 

However, in rare circumstances students may miss an exam due to a disability/medical reason that is supported by medical documentation. This would include:

  • Having a Missed Test/Rescheduling Accommodation (Medical documentation supporting this accommodation already provided to SAS).

  • Providing SAS with medical documentation supporting the absence from an exam. 

    • Ex. student in hospital at the time of the exam and provides documentation supporting the date and time.

These are the only disability related circumstances in which SAS can reschedule an assessment. SAS does not reschedule assessments for employment or volunteering, personal or family events (e.g., vacation, weddings), or travel circumstances.

If there is an extenuating circumstance not listed here that relates to a protected ground under the Ontario Human Rights Code, students are directed to contact the Office of Human Rights and Equity to seek accommodation through their office.

Important: Considerations for Rescheduling a Missed Exam

Students should consider that missed exams must be booked as soon as possible keeping in mind the following:

  • Rescheduling a missed assessment takes a significant time for SAS to negotiate and process. Delays at any point in this process can result in lack of access to accommodations or delays in completing the missed exam. 

  • The first day rescheduled exams can be written is the contingency date in the December and April exam periods.

  • SAS will not process rescheduling requests that propose rescheduled writing dates from the last day of classes until the last day of exams in the Fall and Winter Terms.

  • University Closures, holidays, and other factors may affect SAS availability to reschedule final exams. This includes the December Holiday season Break. 

  • Students must be aware that instructors may select a date for all students requiring a rescheduled final exam in their course to write, SAS students will be required to write on the instructor's selected date unless they provide disability documentation supporting that they cannot write on the instructor's selected date.

  • Instructors may choose to have students write the rescheduled final exam during the next term’s special exam period.

  • Rescheduling a final exam may result in delays to travel plans, or require students to return to campus to write the exam after the term ends. 

  • It is a student's responsibility to keep track of missed exams and ensure that they are written in a timely manner.

  • A delay in writing a final exam can result in academic progression issues and /or impact the ability to remain registered in a course(s) in the next term where the missed exam was in a prerequisite course.

How to Complete a Booking for a Missed Exam

Students with the Missed Test/Rescheduling Accommodation should refer to the SAS Web Page on Missed Test Rescheduling and follow those procedures to reschedule their exams.

Students rescheduling a test for a disability/medical reason supported by documentation who do not have the Missed Test/Rescheduling Accommodation must:

  1. Contact their SAS Advisor and their instructor informing them that they have missed or will miss an exam as soon as they are able. Best practice is to inform SAS and your instructor prior to the assessment start time or within 24 hours or the original date and start time.
  2. SAS will review the students' situation individually and determine if SAS can support the rescheduling of the missed exam for a disability/medical related reason. SAS may request additional medical documentation from the student.
  3. If the student is approved to book the rescheduled assessment with SAS they must use the test booking link for their campus to reschedule their exam. This applies to both in person and online exams.
  4. In the test booking link students should select the following option in Section 3 Box 10:
    1. Rescheduled for disability/medical reasons: specific documentation provided to SAS (i.e. medical note).
  5. The student is responsible to then propose a date and time in the test booking link in Section 3 Box 12. The first date missed exams can be rescheduled is the contingency date for both the Fall and Winter Term.
    1. Please ensure you review Important: Considerations for Rescheduling a Missed Exam above before proposing a rescheduled writing date to ensure your proposal follows the SAS guidelines and you understand your responsibilities.
  6. SAS will negotiate the student’s proposed writing date for the missed exam with the instructor and assist in negotiating a date/time if the proposal does not meet with the instructor's approval. SAS will contact the student to confirm the instructor approved date/time.
