Table Booking Process

*Available to Internal University Departments Only 

 

Locations
 

Four table locations are available:

Simcoe Hall (OA) - Adjacent to the Computer Lab

- Simcoe Hall (OA) - Main Entry, top of stairs

- Dining Hall (OC) - South Entrance

- Residence Hall (OR) - Lobby

These areas are available on a daily basis, limited to one reservation per table/day. Note that tables are available between 8:30 - 4:30pm, or additional staffing fees may apply. 

For Outdoor Table Requests, please specify the area you would like to use.  Note that tables must be collected by 4:00pm, or additional staffing fees may apply. 

- Unfortunately there are no exterior chairs available for outdoor events.  

- Picnic Tables are not included in outdoor table requests and may be moved by internal departments. 

What Do I Need To Provide and Reminders

- Food & Conference Services provides a maximum of 2 tables and four chairs per complimentary table booking. Larger requests may incur cost-recovery delivery and set up fees.  Designated table areas may not have electrical charging access. 

- A "Table Permit" will be issued and must be on display in a conspicuous area at all times. 

- Please do not retrieve tables on your own. Tables must remain in their designated location.  Indoor chairs must remain indoors.  A limited supply of Muskoka-style outdoor chairs are available for use outdoors.

- Kindly remove all trash at the end of your event, leaving your table as it was as you found it. 

How To Request A Table

Table booking requests must be submitted a minimum of 5 business days before your event. Without such notice we may not be able to fulfill your request.

Fees
 

This service is currently being offered without additional fees for Internal Lakehead University Departments and LUSU Clubs.  In order to ensure that reserved tables are utilized, a "No Show" charge of $75.00 + HST will be applied per occurrence. In the event Food & Conference Services staff are required to set up or remove tables outside regular operating hours (M-F, 8:30am - 4:30pm), or should items be missing/damaged or excessive cleaning be required, additional fees may apply. 

Miscellaneous Information

Use of Space Policies
Please note that postings are only permitted on bulletin boards. Tape is not permitted on walls, doors and ceilings. Food & Conference Services has the obligation to remove any unapproved postings on walls to comply with fire regulations. There may be those on campus with a severe latex allergy.  We are recommending the use of foil or plastic balloons in lieu of latex balloons for events. 

There should be no standing on chairs, tables or trolleys and any movement of furniture should be arranged through Food & Conference Services.

Food & Conference Services keeps an updated record of the conditions of meeting spaces.  Any damages or extra cleaning, excluding normal wear and tear, will become your responsibility and you may be required to pay for the cost of the extra cleaning charges or repair / replacement of any damage done to University property. 

Fire & Safety Regulations 
Tables should not be moved and are to be left in their assigned location. All tables must adhere to the Fire Safety Plan as established by the Health & Safety Office of Human Resources and the Fire Department.

Any set up must include a minimum of 3.5 metres of aisle/egress that can be split into a maximum of three  isles (fire code standard is a minimum of 1.1 metres per aisle).

Electrical Use
All extension cords must be taped down or covered, as they may cause a tripping hazard.

Noise/Music/Announcements
If any table has music, announcements or other noise that may be disruptive, Food & Conference Services needs to ensure all classrooms and campus partners in the vicinity are made aware in advance. The volume cannot exceed the level deemed appropriate by on-site Food & Conference Services staff. SOCAN & RE:SOUND Fees will apply to any musical event.

We respect any display or ceremony that is culturally significant.  Food and Conference Services requires advance notice to inform the classrooms and community partners in the vicinity to anticipate additional noise, scents or music during that time. Please inform Food & Conference Services of any ceremony at least 5 days prior to the event.

Catering Policy
Lakehead University does not permit outside catering onto campus without the proper food waiver forms and documents signed by the appropriate departments. This includes samples, homemade food & cultural food that is to be given/sold to students, faculty & the public. Please contact Food & Conference Services if you have any questions about the process involved in bringing in outside catering. 10 days notice is required for all requests. Additional Service Fees apply to catering not provided by our on-site caterer. Closest Smoking Area
Lakehead University is a non-smoking campus. The designated smoking area is located west of Simcoe Hall.  Smoking cannabis and/or vaping is not permitted on campus.
