Under general supervision, the incumbent will provide administrative support to the department of Physical Plant and Lakehead University’s 46 buildings, leases, properties, and employees in a high-volume work environment. Financial processing and protocol requiring a knowledge of projects, collective agreements, tenders, arrange meetings, compose memos/emails/letters, capital project records of expenditures and working collaboratively with all staff members to ensure department goals, priorities and timing schedules are met. DUTIES:

•  Answer phones and take messages when required.

•  Setting up ledgers and maintaining records of capital funded projects - FRP, SCIP, organizing and

   coordinating meetings.

•  Oversee the database implementation and maintenance of employee training, inventory,

   elevator licensing, safety equipment inventory, employee uniform/footwear purchases/invoices, etc.

•  Oversee attendance for part-time and full-time payroll processing, vacation,

   sick, overtime usage all while meeting strict deadlines.

•  Greet contractors, visitors, staff/faculty for meetings.

•  Analyze and solve problems associated with responsibilities and gather information for staff inquiries.

•  Supports front administration during vacation or illness.

•  Maintain confidential staff files.

•  Answer and disseminate information to employees.

 

QUALIFICATIONS:

 • Minimum Post-Secondary education with 2 years of proven administrative assistant experience.

   Diploma or Degree in Business Administration would be an asset;

•  Front desk and customer experience are preferred

•  Demonstrated proficiency with PC’s, and various office programs including Microsoft Office

   (Word, Excel), Google Workspace, etc.

•  Ability to work independently and as part of a team

•  Excellent communication, organizational and interpersonal skills

•  Ability to handle stress, constant interruptions, and numerous deadlines

Reporting to the Principal, Orillia Campus, the CELL Coordinator has a broad portfolio, which requires the individual to be organized and creative with a strong eye for detail. The individual plays a key role in the planning and delivery of lifelong learning programs that engage diverse communities in Orillia and Thunder Bay. The CELL Coordinator will respond to complex inquiries from facilitators and community members regarding CELL programming.  They will coordinate and facilitate the set up and implementation of programs and events, including managing Zoom links, booking room spaces, communicating with event facilitators and participants, and sharing program information with other CELL members.

 

The CELL Coordinator will foster positive relationships with community organizations (including committees and local businesses), while providing on-site support for events as needed.  They use their strong skills in Social Media to maintain a presence on multiple platforms and maintain the website as needed.

 

QUALIFICATIONS

  • Master’s degree in Education, Social Work or a related field is an asset
  • Strong computer literacy and application (knowledge of Microsoft Office, Powerpoint, Excel, social media, Google workspace), for daily use;
  • Use of D2L/mycourselink with instructor/course administration roles;
  • Excellent organizational skills and ability to manage competing priorities is crucial
  • Exceptional interpersonal, communication, customer care, and group dynamic skills, including empathy and sensitivity to the needs of older adult learners and diverse populations;
  • Excellent ability to focus in order to ensure the utmost accuracy and attention to detail, problem-solving skills, and critical thought;

QUALIFICATIONS:

• Minimum Grade 12 education.

• Experience in custodial, use of small hand tools.

• Must have a current, valid driver’s licence of the appropriate class, with a good driving record.

• Ability to follow oral and written instructions.

• Ability to meet the physical demands of the job, including lifting, carrying, pushing, pulling heavy  

  objects (occasionally over 100 lbs.), working at heights (scaffolding and ladders – may involve

  heights above 20 feet), awkward positions, kneeling, and performing overhead work.

• General knowledge of recognized practices and safe work habits and techniques employed in

  custodial work.

• Familiarity with the Occupational Health & Safety Act and its regulations and other health and safety

  related legislation and standards.

  buffing machines, auto scrubbers, etc.).

• Aptitude for general maintenance functions (checking and cleaning connections, filling batteries, etc).

The Academic Support Zone Coordinator is responsible for development, coordination and delivery of academic support programming and resources for Lakehead University. Overseeing the operations of the Academic Support Zone in Thunder Bay, including on-boarding, supervision and coaching of staff, the ASZ Coordinator works closely with the Academic Support Zone in Orillia as well as other partners, such as Georgian College, to support consistency of operations for all Lakehead students. The ASZ Coordinator maintains a distinct focus on the development, execution, and reporting of innovative and quality academic support programs, events, and communications. These programs assist Lakehead students in achieving success across all academic disciplines - whether on campus or at a distance.

 

The role will oversee the daily operation of the Academic Support Zone, including staffing schedules, daily supervision and payroll reporting.  They will interview Writing Coaches, Tutors, Peer Mentors and ASZ volunteers, and provide Orientation and program training to all.  Additionally, they will research, develop and execute new ASZ programming, based on student and faculty feedback, industry and statistical trends, best practices and emerging topics in academic support services and programs across all academic disciplines.

 

Candidates to this position must have completed a Undergraduate Degree in English, Professional Writing, Communications, Education or an equivalent, combined with 3 years of relevant experience. Knowledge of distinct learning needs of special student populations, including English Language Learners, college transfer, mature and first generation students is an asset, along with the a thorough understanding of the University's academic integrity/academic dishonesty policy. Outstanding written and oral communication skills are imperative to success, along with effective interpersonal skills for establishing rapport with students, faculty and staff.  Familiarity with common software programs, interactive grammar and research programs, and website management is an asset. The successful candidate will have advanced skills in statistical tracking, reporting and analysis to be able to effectively gauge the usage and effectiveness of the ASZ's initiatives.

The Student Central Professional is responsible for providing independent, immediate, proactive, and reactive diagnostic support and problem resolution to students on a broad range of functions including, but not limited to, academic and financial aid eligibility, admission, transfer credit, registration and enrolment issues. Through the comprehensive interpretation and application of various policies, procedures, rules and regulations, the Student Central Professional will counsel students on program requirements and eligibility, assessment decisions, options for financial aid and funding, OSAP reviews, as well as the enrolment cycle. Other duties include reviewing and guiding students regarding account information as well as discussing student financial aid and academic concerns and issues in order to determine the best course of action for the student to pursue while explaining and documenting the ramifications of such courses of actions (i.e. reduction of course load, withdrawals, academic and financial aid appeals, etc.) in an effort to ensure the student is making an informed decision.  

 

It is the expectation that the Professional will guide students through their enrolment in order to become self-reliant in terms of their educational pathways and choices. This role includes providing support to many student populations to guide them through their educational journey, and assisting in the execution of proactive recruitment campaigns, early outreach and support initiatives for students. Participation in the University’s Convocation ceremonies is also part of this role.

 

The position requires a high level of customer service and engagement, which may require variable hours of work based on operational needs.

 

Candidates to this position must have completed a university degree along with at least 3 to 5 years of experience in a student service advisory role. The successful candidate has the demonstrated ability to respond to student needs with a holistic approach as well as strong working knowledge of University policies and procedures and the functions within Undergraduate Admissions, Student Awards & Financial Aid, and Academic Advising, Records & Registration. An outstanding communicator with demonstrated ability to respond to student needs with a holistic approach, the successful candidate also has the ability to analyze and interpret data. Lakehead University has a full-time opportunity within the Technology Service Centre. Reporting to the Manager, Data, Voice and Multimedia, the successful candidate will provide technical support to the administration, staff, faculty, and students by scheduling and troubleshooting production audio/visual and video conferencing hardware, delivery, set up, and support of classroom technology. The Multimedia Technician II will develop classroom technology room design, program audio/visual and video conferencing equipment and create/maintain documentation of installations.  This involves auditing and identifying challenges related to damage, malfunctions, and failures in equipment.

 

The successful candidate will possess a post secondary diploma/degree related to multimedia technologies (or equivalent experience) complimented with certification in the same field and the completion of Creston CTI-P201 certification training.  Interpersonal, communication and troubleshooting skills as well as proficient time management are required. Experience in A/V classroom / meeting space design, knowledge of professional audio, design, and installation, including echo cancellation and sound reinforcement is required. The incumbent will require knowledge and understanding of the operation and maintenance of multimedia and audio/visual equipment used on campus, this includes:

 

 • Understanding Windows/Mac operating systems and software as it pertains to presentations

 • Thorough understanding of the various classroom presentation and audio technologies

 • Setting up and using PA systems: audio mixers, speakers and wired/wireless microphones

 • Understanding and knowledge of video conferencing equipment, methods and technologies

Reporting to the Associate Director, Marketing and Recruitment (Georgian College), the Director, Recruitment (Undergraduate - Lakehead University) and the Communications, Marketing and Web Development Director (Lakehead University), this position will play a crucial role in the success of the Lakehead University-Georgian College Partnership (Lakehead-Georgian) with respect to attracting, recruiting and retaining students.

 

This position is responsible for the development and implementation of the Lakehead-Georgian Partnership’s marketing and student recruitment strategies. The incumbent will be actively involved in the development and implementation of integrated digital and traditional marketing campaigns, recruitment and conversion of students by coordinating and representing Lakehead-Georgian at events, such as high school visits, community events, career fairs, and other venues across the County of Simcoe (both virtually and in-person). As a Lakehead-Georgian ambassador, the position will build and maintain relationships with key influencer groups including guidance counsellors, teachers, and parents. They will also be responsible for the development of the partnership's marketing and communication materials – traditional and digital marketing assets (social media, website, brochures, viewbook etc.) – and communication with prospective students and accepted applicants.

 

Candidates for this position must have a post- secondary degree or diploma, with a minimum of three to five years of experience in a related capacity. Education, training or experience in marketing, public relations, or student recruitment preferred. An outstanding communicator with demonstrated verbal and written communication skills, they will have excellent time management, analytical and organizational abilities with a strong independent work ethic. You have proven experience and expertise developing and implementing integrated marketing, communications and recruitment plans for multiple audiences, demonstrating knowledge of communications and marketing skills with an ability to incorporate both traditional and new media technologies into campaign activities. You must have a demonstrated ability to foster, develop and maintain successful working relationships with multiple audiences. Sensitivity to privacy issues and a flexible work schedule is expected for this position. A Class G driver's licence is required due to the expectation of travel requirements.

As a member of the Enrolment Services team, this successful applicant to this position will focus on handling the schedules and coordinating meetings for the Associate Registrar, Associate Registrar of Student Awards & Financial Aid, Associate Registrar of Undergraduate Admissions, and the Director of Undergraduate Recruitment, as well as, making all necessary arrangements to support meetings and preparing and coordinating all correspondence to support the respective manager.  This position is required to coordinate and book all travel arrangements and prepare authorization and expense reports, track travel expenditures and ensure all travel arrangements align with the financial policies of the University. The successful applicant will have a solid understanding of office management that includes, but not limited to, ordering, and organizing all office supplies and materials, room bookings, minute taking, mass mail outs, preparing budget requests and tracking monthly attendance reports for each manager’s respective departments. Participation and support of hosting on-campus recruitment events is also an area of responsibility, requiring a friendly and positive demeanor and strong organizational skills. Providing back up to support the other functions of the Enrolment Services during peak times as required will be part of this role. 

 

Familiar with the Lakehead University Academic Calendar regulations, specifically university regulations as they apply to student petition late withdrawal submissions.  Liaising with faculty, staff, and students with respect to collection of essential petition documentation.  Maintain a petition database to ensure timely turnaround of petition files submitted for review.

 

This role will also be responsible for ensuring correct registration and confirmation for government student loan recipients through multiple portals and pathways throughout the year.  The successful applicant should have a strong understanding of provincial and federal student loan acts and regulations, as they are responsible for the record management of all loan documentation and reviewing and approving profile and supporting documents while acting as a liaison between the university and the provincial and federal governments.  The applicant will have sound organizational management skills in order to develop and report cost codes to provincial governments as requested, and the daily uploading and updating of student files. Working with highly confidential information is also an important aspect of this role.

 

 

Qualifications:

• Post-secondary education in Business or the equivalent combination of education and 2

   years’ experience in an Administrative Assistant position;

• Exceptional communication (written and verbal), organizational and interpersonal skills;

• Excellent time management skills and exceptional attention to detail;

• Ability to obtain the utmost confidentiality with respect to student information;

• Proficiency with PCs, general website maintenance, and various office programs including Microsoft

  Office (Word, Excel) with Datatel/Colleague considered an asset

• Detailed knowledge of all facets of Enrolment Services;

• Ability to work effectively both independently and collaboratively

• Demonstrated ability to multitask a variety of high priority duties and work under the pressure

  of deadlines;

• Ability to adapt and learn new systems and software as required;

• Detailed knowledge of University policies, procedures and academic regulations;

• Knowledge of secondary and post-secondary education systems within Canada and

  Ontario considered an asset.

• Updated policy understanding of the OSAP program to maintain service delivery and overall student

   satisfaction.
