The Administrative Assistant coordinates and performs office and administrative support to assist in the efficient and effective operation between the CIO, the Technology Services Centre (TSC) offices and the DRMAI.
DUTIES:
- Maintains and monitors budget records for all departmental units of TSC (Desktop, Servers and Client Services, Data, Voice and Multimedia, Enterprise Resource Planning, Multimedia) and other budget-related duties for DRMAI
- Prepares billing invoices and budget transfer summaries for both internal and external customers
- Maintains calendars for the Directors, Managers by scheduling appointments and meetings
- Acts as a receptionist for staff, faculty, students and visitors, answering questions regarding department policy, taking messages, referring enquiries to appropriate officials using tact and diplomacy while maintaining good public relations at all times, and ensuring confidentiality
- Prepares Income reports for departmental retail activities
- Coordinates authorization and payment of invoices and requisitions for TSC and DRMAI.
- Coordinates meetings, ensuring quorum, prepares agendas, minutes, and other documentation and arranges meeting facilities.
QUALIFICATIONS:
- Post-secondary education in Office Administration or related field
- Advanced knowledge of computers, software programs and their uses; Extensive software skills; i.e. spreadsheets in Excel, Word processing and Internet research abilities
- Strong communication and writing skills with excellent interpersonal and organizational office skills
- Ability to work with confidential information with tact and professionalism
- Experience with bookkeeping is an asset

The Library Technician - Services will provide user-centred support at the library’s online and in-person service points. This work will include promptly and thoroughly answering email and phone inquiries, staffing the Access Service’s desk, and participating as an operator in the OCUL Ask a Librarian chat. In addition to reference support, the Library Technician will maintain patron records and facilitate the circulation of library materials by brief cataloguing, charging, discharging and renewing materials. Services work will also include processing and distributing Lakehead identification cards, processing PaperCut and Makerspace payments and supporting community access to library resources.
The incumbent will support the work of the Access Services department by updating signage related to special notices, events and hours. The incumbent will manage the library’s main research help email account, providing reference and directional assistance. The incumbent will work with the technology services centre (TSC) to update weekly guest accounts, which provides computer access to visitors. The incumbent will also assist in the planning and delivery of library events, such as orientations and tours.

1. Performs a wide variety of tasks in Physical Plant and/or Residence related to custodial, grounds, shipping/receiving and electrical work. 2. Will be assigned to a home department in Housekeeping.

4. Operates the appropriate machinery for the position, e.g., floor cleaning machine, lawn mower, trucks, power tools, etc.

QUALIFICATIONS:
1. Minimum Grade 12 education
2. Experience in custodial, grounds, receiving/shipping.
3. Must have a current, valid driver’s licence of the appropriate class, with a good driving record.

- Maintenance of roadways, parking lots, culverts, catch basins, sidewalks, ditches, etc. as required;

● supporting the implementation of other EDI initiatives in the research enterprise; and

This is a highly collaborative position, calling for a high degree of inter-departmental and external communications expertise to achieve University objectives, as you will be expected to:

QUALIFICATIONS
The ideal candidate for the role of Equity, Diversity, and Inclusion Facilitator in Research will be a relationship builder, team player with strong communication skills, and also have:

Reporting to the Manager of Graduate Studies, the Graduate Funding Officer is the primary point person in the development, implementation and coordination of Graduate Funding and is accountable for the administration of graduate internal and external funding in the Faculty of Graduate Studies.
DUTIES:
•Responsible for maintaining graduate student financial aid records in the Student Information
System (Ellucian), ensuring that funds are applied appropriately.
• Using complex criteria for each program, determines and makes adjustments to awards based on changes
to enrolment status, withdrawals, degree completions and immigration status, according to University
refund policies and Tri-Agency (NSERC, SSHRC and CIHR) / Ministry of Colleges and University
(MCU) regulations.
• Working with students, campus colleagues and agency representatives to address funding issues related
to student accounts impacted by changes in enrolment status, immigration status, late nominations, tuition
fee arrangements, etc.
• Prepares and updates detailed, specific operational procedures to support awards processing.
Reporting and Reconciliations
• Coordinate and manage the external awards competitions.
• Responsible for and oversees the implementation of University external policies and regulations with
regards to awards management, including academic qualifications, enrolment eligibility, research
eligibility, and funding announcements.
• Is the liaison with external agencies and representatives for all graduate external funding programs.
• Provides comprehensive reviews of graduate scholarship applications.
• Responsible for the production and updating of scholarship procedures.
• Develops, prepares and delivers workshops and training for departments on annual competition
procedures and processes.
• Prepares the collection of data and completes reports on institutional funding reports for National
and Provincial Funding agencies.
• Creates and maintains financial reports of all graduate funding.
• Completes all provincial and federal granting reports as required by the federal and provincial
granting agencies.
• Reviews and monitors budgeted monies that are designated to graduate students.
• Provides one-on-one guidance to students in financial difficulty or crisis.
QUALIFICATIONS:
• 3+ years working in an academic environment
• Knowledge of university policies related to access and release of student information, information
security, and records management
• A background in student financial aid and/or graduate studies would be beneficial
• Highly developed written and oral skills, great attention to detail, and excellent interpersonal skills.
• Ability to multitask and manage multiple priorities and interruptions.
• Ability to manage conflict and disagreement.
•A high degree of knowledge in transcript evaluation at both the domestic and international level
for scholarship eligibility purposes.
• Knowledge of eligibility and scholarship application requirements and processes set forth by the
Ontario Graduate Scholarship, Social Sciences and Humanities Research Council of Canada,
Natural Science and Engineering Research Council of Canada and the Canadian Institute of
Health Research.
• Knowledge on all external award regulations.
• Knowledge of the on-line Tri-Council Application System.
• Ellucian, Informer, and experience with external reporting tools is an asset.
• Knowledge of Graduate Studies policies and practices related to admissions, financial aid, enrolment
and graduation records, and theses.
• Proven student/client service and interpersonal skills. Professional demeanor in interacting with students
on confidential and sensitive matters.
• Ability to work both independently and in a collaborative, team-based environment.
• Successful experience meeting multiple and concurrent deadlines.
• Proven experience regarding accuracy, attention to detail and problem-solving abilities.
• Flexibility and ability to work effectively with Graduate Studies staff as well as departmental staff and
faculty on complex issues and procedures.

The Senate-approved EPID@Work Research Institute is the injury and disability Research Institute for Northwestern Ontario. Established in 2018, the mandate of EPID@Work is to bring people together to reduce work-related injury and disability through collaborative applied research and provision of education to enhance knowledge related to injury and disability. The Institute recently became a partner with the Ministry of Labour, Training, and Skills Development and holds a seat at the Ministry’s Prevention Research Partner’s Table. Information generated from our research informs practice and policies aiming to improve health and social outcomes in Northwestern Ontario and beyond.
The goals of the Institute are to 1) conduct, high-quality, community-based, transdisciplinary research in the areas of work-related injury and disability prevention, with a focus on issues relevant to Northwestern Ontario; 2) participate in, develop and evaluate integrated knowledge exchange approaches with community stakeholders and the greater research community participating in all phases of the research process; and 3) provide an exemplary training and experience opportunity for the next generation of community-based transdisciplinary researchers in Northwestern Ontario and beyond. The research foci of the EPID@Work Research Institute (mental health in the workplace; equity, diversity and inclusion; and knowledge mobilization and implementation) fit well into the university’s priority research areas: Cultures, Societies and Social Justice; First Nations, Métis, and Inuit Research; and Health and Well-Being.
The EPID@Work Research Institute is seeking a qualified candidate to design and conduct research on the societal impact of EPID@Work Research and evaluate Knowledge Mobilization operations within the Institute. The KMI Evaluation Lead will build and evaluate partnership networks within the EPID@Work Research Institute in conjunction with the KMI Operational Lead and Director. This position also assists with the KMI Operational Lead to design the EPIDTalks Speaker Series and promote delivery and acts as a back-up for the Prevention, Knowledge Exchange Group (PKEG) while assisting with stakeholder communications. The KMI Evaluation Lead will oversee the research completed by an EPID@Work KMI Researcher and work closely with the other members of the research team as they seek evaluation of knowledge mobilization efforts.
The candidate will have specialized training in implementation and/or evaluation research, or a related field and be expected to hold educational training at a PhD level. They will demonstrate strong experience in evaluation (both qualitative and quantitative). The KMI Evaluation Lead will have exceptional organizational, interpersonal, oral and written skills, and have the ability to multi-task a variety of high priority duties and work under the pressure of deadlines while working independently. Strong, existing local networks with stakeholders relevant to the EPID@Work Research Institute is an asset.

DUTIES:
