Transforming HR Business Processes with Laserfiche

The Office of Human Resources is thrilled to share some exciting news that will significantly enhance HR’s workflow and document management capabilities. We will be implementing Laserfiche, a cutting-edge document management system designed to streamline our processes and boost overall efficiency. 

One of the significant advantages of this new process is the elimination of the traditional steps involving downloading, signing, scanning, and other time-consuming tasks. The entire approval process will now be seamlessly integrated into the system. One by one, Human Resources will be migrating all forms to this platform.

What is Laserfiche?

Laserfiche is a powerful but user-friendly document management, process automation and content services platform. This comprehensive solution will empower us to:

Boost Efficiency: Streamline workflows, automate repetitive tasks, and reduce manual errors, leading to increased productivity.

Increase Security: Utilize Lakehead University’s single sign on authentication system to regulate users and safeguard sensitive information.

Enhance Collaboration: Enable seamless collaboration among teams by providing a centralized platform.

Improve Document Organization: Easily categorize, store, and retrieve documents, reducing the time spent searching for critical information.

Q: I've received an email from Laserfiche, is this spam?

A: All new users will receive an activation email from Laserfiche Cloud Canada containing information on verifying their Laserfiche account. 

Q: What if I have further questions not covered here?

A: Feel free to reach out to the Office of Human Resources at humanres@lakeheadu.ca for any additional queries.

Q: Do I need to verify my account?

A:  Yes, before you can approve an electronic form you must verify your Laserfiche Cloud Account.

Q: What is the "Account ID"?

A: There is no need to remember our Account ID.  Bookmark this link and use it to sign into your Laserfiche dashboard. Make sure you select the blue button when logging in!

Q: How do I know when my approval is required?

A:  You must first verify your Laserfiche account.  Anytime your approval is required, you will receive an email notification from the Laserfiche platform.   

Q: What is the easiest way to approve a form with Laserfiche?

A: You will receive an email notification from the Laserfiche platform anytime your approval is required.  At the very bottom click on "Click here to open this task" and you will be taken directly to the approval screen. 

Q: I am a Supervisor, but also in the role of the Faculty/Department Head? Do I need to approve twice?

A: If you occupy the role of the employees' Supervisor, as well as the Faculty/Department Head, select your own name when the Faculty/Department Head is requested.  You will be asked to approve for each role.

Q: What if I need to provide more that one budget code?

A: Please mention all the budget codes (separated by a comma) and the comments section should be used for any explanation. If you do not have signing authority for all budget codes provided, promptly advise the Office of Human Resources at humanres@lakeheadu.ca

Q: What if I encounter technical issues while filling the form?

A: Contact the Office of Human Resources at humanres@lakeheadu.ca immediately, providing details of the issue. Technical assistance will be provided as soon as possible.

Q: Who should I put at the Faculty/Department Head?

A: Please select your Dean, Associate Vice-Provost, Associate Vice President, or Director.

Q: The supervisor or department head name I need is not on the dropdown list. What do I do?

A: Complete this form and a member of our HR team will be in touch.
