Summer Accommodations Coordinator
Part Time (Up to 35 hours per week) $16.50 - $17.50/hr
April 4 to August 26, 2022

Under the supervision and guidance of the Manager of Food & Conference Services, the Accommodations
Coordinator is primarily overseeing the day-to-day hotel operations, including transient hotel guests and conference
groups. The incumbent would be responsible for ensuring all full and part-time conference staff are trained on our
hotelier program (SkyTouch), managing the turnover process for our summer accommodations with our contract
cleaning provide and residence operations department, ensuring consistent, professional and friendly customer
service at our Front Desk, coordinating contract to invoice process for small overnight groups, overseeing all
financial procedures and daily cashier reports, and submit regular reports to the Manager. They provide additional
support for our FT Front Desk staff, provide shift coverage when required, and the Coordinator’s with bedroom
allocation and housing suggestions.
Specific duties include
- Creating an operations manual for our Front Desk summer operations, including detailed instructions on the use
of the ‘Sky Touch’ program and financial procedures
- Supporting our Front Desk team during the transition to the new hotel system
- Overseeing financial process including reconciling payments, reporting, accounts, and turnovers invoices
- Liaising with our contracted cleaners for room turnovers and completion times, checking rooms to ensure
standards are met and correcting issues in a timely manner
- Liaising with our Conference Coordinators for incoming conference group stays, assigning rooms, ensuring they
are clean & ready, providing check-in support for large groups
- Regular rounds of accommodations spaces, follow up on outstanding work orders and ensure completion in a
timely manner
- Covering Front Desk shifts as needed due to illness, holiday, or unforeseen issues
- Complete and Submit monthly reports including previous months revenue and occupancy, forecasted revenue and
occupancy, and guest-type demographics.
- Suggest and implement ideas and programs for a positive guest experience at LakeheadU and Thunder Bay.
- Handling guest complaints and following departmental procedures for any entitled compensation
The incumbent will have at minimum a post-secondary education with experience in Hospitality, Hotel or Event
Management. Experience with Social media and advertising will be considered an asset. Computer proficiency,
excellent communication, interpersonal, and customer service skills, including tact and courtesy along with
exceptional attention to detail and the ability to make sound decisions, adapt to changes and situations,
organizational skills and multitasking are essential. As a condition of employment, the individual will be required to
work flexible, irregular hours with some potential Holidays and peak event times, be included in a rotating on-call
schedule, and possess a valid full ‘G’ driver’s license. A 5 day summer training is mandatory for the successful
