Administration Assistant: Office of the President
Temporary Contract - up to 9 months



The Administration Assistant will provide assistance and support to the Office of the President and will carry out a wide variety of activities with a high level of confidentiality and in an efficient and professional manner.

Specific accountabilities include:

  • Records and prepares minutes for the Executive Team;
  • Assists the Executive Assistant with organizing correspondence that is received by the Office of the President;
  • Books technology requirements, food services, and appropriate rooms for meetings when needed;
  • Prepares printing packages for meetings;
  • Performs general filing (both electronic filing and paper filing) and maintains a filing system;
  • Opens internal/external mail and works with courier companies to ship various packages, often with tight deadlines;
  • Fields various questions and requests from walk-in-traffic, phone calls, co-workers and e-mails;
  • Manages a collection and reports on all attendance/sick leave benefits for the Executive Team of the Office of the President;
  • Updates the website for the Office of the President when required;
  • Performs other duties as requested by the Executive Assistant to the President and the Senior Advisor to the President.


Qualifications:

  • Post secondary education along with two years' related administrative assistant experience preferred;
  • Proficiency with PCs, general website maintenance and various office programs including Microsoft Office (Word, Excel);
  • Ability to interact in a diverse work environment, exercising diplomacy and discretion;
  • Excellent communication, spelling and grammar skills, both written and verbal;
  • Excellent organizational, interpersonal and customer service skills;
  • Excellent administrative skills to ensure efficiency and effectiveness;
  • Initiative and judgement skills to ensure matters are addressed accurately and appropriately;
  • Ability to work and handle all office duties in a confidential manner;
  • Ability to multitask a variety of high priority duties and work under the pressure of deadlines;
  • Ability to work independently as well as a team player;
  • Ability to use a variety of office equipment such as photocopiers, fax machines, etc.;
  • Familiar with Lakehead University routines, policies and procedures
  • Familiar with safe work habits and an understanding of the Occupational Health and Safety Act.
