The incumbent is responsible for overall administrative support responsibilities associated with the Faculty of Law.  The following is a brief outline of the responsibilities.

 

DUTIES:

  • Provide administrative assistance to the Faculty, Directors, and Operations Advisor including scheduling meetings, distributing mail, making travel arrangements, drafting correspondence/memorandums/minutes/agendas, etc.;
  • Coordinate speaker and student events as well as Faculty and legal community events;
  • Assist with the administrative processes detailed in the LUFA Collective Agreement;
  • Respond and/ or direct telephone/walk-in/email inquiries;
  • Assist with the processing of monthly payables and receivables;
  • Assist with the preparation of course maternal, timetables, and calendar submissions using Curriculum Navigator;
  • Coordinate and manage building technology issue, requests, and work orders;
  • Coordinate and manage exam schedules and processes;
  • Answer and direct admission inquiries;
  • Assist in the creation of marketing and recruitment materials;
  • Organize and maintain the office filing system;
  • Perform other related duties as required.

 

QUALIFICATIONS:

  • Post-secondary education along with relevant experience in a post-secondary institution;
  • Experience working in a legal setting considered an asset;
  • Knowledge of OLSAS and Lakehead University Faculty of Law requirements for admission;
  • Ability to interact with students, staff and the public, exercising diplomacy and discretion;
  • Knowledge and experience with event planning and external relations;
  • Excellent communication, spelling and grammar skills, both written and verbal;
  • Excellent organizational, interpersonal and customer service skills;
  • Initiative and judgment skills to ensure matters are addressed accurately and appropriately;
  • Demonstrated cultural competency and knowledge of Aboriginal communities;
  • Ability to work and handle all office duties in a confidential manner;
  • Ability to multitask a variety of high priority duties and work under the pressure of deadlines;
  • Ability to work others both internally and externally;
  • Proficiency with PCs, general website maintenance, and various office programs including Microsoft Office (Word, Excel, Publisher).
