Lakehead University invites applications from dynamic, creative and enthusiastic Administrative professionals to join our team. This position reports to the Chief Information Officer (CIO) and the Director, Risk Management & Access of Information (DRMAI). The Administrative Assistant coordinates and performs office and administrative support to assist in the efficient and effective operation between the CIO, the Technology Services Centre (TSC) offices and the DRMAI. 

                                              

DUTIES:

 

  • Maintains and monitors budget records for all departmental units of TSC (Desktop, Servers and Client Services, Data, Voice and Multimedia, Enterprise Resource Planning, Multimedia) and other budget-related duties for DRMAI
  • Prepares billing invoices and budget transfer summaries for both internal and external customers
  • Maintains calendars for the Directors, Managers by scheduling appointments and meetings
  • Acts as a receptionist for staff, faculty, students and visitors, answering questions regarding department policy, taking messages, referring enquiries to appropriate officials using tact and diplomacy while maintaining good public relations at all times, and ensuring confidentiality
  • Prepares Income reports for departmental retail activities
  • Coordinates authorization and payment of invoices and requisitions for TSC and DRMAI.
  • Coordinates meetings, ensuring quorum, prepares agendas, minutes, and other documentation and arranges meeting facilities.

 

QUALIFICATIONS:

 

  • Post-secondary education in Office Administration or related field
  • Advanced knowledge of computers, software programs and their uses; Extensive software skills; i.e. spreadsheets in Excel, Word processing and Internet research abilities
  • Strong communication and writing skills with excellent interpersonal and organizational office skills
  • Ability to work with confidential information with tact and professionalism
  • Experience with bookkeeping is an asset

 

This position offers a competitive remuneration package including salary, comprehensive benefits package, life insurance, a pension plan and tuition waiver. The hours of work are primarily a Monday to Friday day shift.
