ADMINISTRATIVE ASSISTANT

Under general supervision, the incumbent will report to the departmental Chairs. The following is a brief outline of the responsibilities.
DUTIES:
- Provide administrative support to three departments, including faculty and chairs (Languages, Indigenous Learning and Women’s Studies)
- Complete all department forms as required
- Scheduling tasks (loading sheets, exam timetables etc.) being in contact with cognate undergraduate and graduate related units
- Create brochures, posters, power points, etc. for promotional/ recruitment purposes
- Produce meeting agendas, attend and minute meetings, collage Department reports into meeting materials
- Submit calendar changes
- Maintain department bulletin boards and display case
- Assist with cyclical review of programs by collating departments review documents
- Order textbooks, desk copies and cancopy course packages
- Organize and maintain office filing system, ensuring confidentiality and security of all files
- Purchase supplies and stationary for department from on and off campus sources
- Assist in organizing special events for department
- Design, produce and help to distribute promotional and recruitment materials
- Provide assistance in PTR, Merit and Annual Report processes
- Maintain library book order database and submit requisitions to library
- Onboard new Sessional Instructors, Undergraduate Markers, and Graduate Assistants
- Maintain Languages, Indigenous Learning and Women’s Studies department website and ensure accurate and current information is published
- Perform other duties as required, such as ensure accuracy of Department materials (e.g. course outlines; exam cover sheets; training manuals for Instructors, Markers, and others, etc.)
- Assist in administration of Faculty research (i.e.: photocopying or other non-direct-research tasks)
QUALIFICATIONS:
- Post-secondary education with two years minimum related administrative assistance experience
- Administrative or Secretarial skills training
- Proficiency with computers and software programs including Mitel and Datatel systems
- Excellent communication, spelling and grammar skills in both written and verbal organizational and interpersonal skills
- Excellent administrative skills to ensure efficiency and effectiveness
- Ability to work independently and as a team player
- Ability to multitask a variety of high priority duties and respect deadlines
- Bilingual, French- English would be an asset
