RESIDENCE FRONT DESK RECEPTIONIST

  Residence Services and Food & Conference Services

Thunder Bay Campus

Monday to Friday – 3:00pm to 11:00pm

Full-Time, Permanent

COPE, Level 5

Under general supervision, the incumbent will provide clerical and reception support to Residence Services and Food & Conference Services. When required hours of work and days scheduled may be modified to address the needs of the University. The following is a brief outline off the responsibilities. A job fact sheet detailing the required duties is available in the Office of Human Resources.

 

DUTIES:

Answer phones and take messages from students, conference guests, etc. when required;

• Transfer calls/inquires to appropriate locations when required;

• Receive trouble calls and service requests for residence and respond accordingly;

• Maintain accurate key inventory and issue and receive keys for students, staff, conference guests, travelers and contractors;

• Receives and sorts all incoming letter mail parcels and deliveries;

• Sends mail pick up notifications to students;

• Interacts with students, staff, conference guests, visitors and general public to provide and/or

  obtain information on services, etc.;

• Organize and maintain various files of correspondence, records, brochures and other materials;

• Assess the condition of residence rooms prior to student arrival and departure as required;

• Other related duties as required.

 

QUALIFICATIONS:

Post-secondary education preferred along with 1 year clerk/receptionist experience;

• Front desk and customer experience are preferred;

• Demonstrated proficiency with PC’s, and various office programs including Microsoft Office

  (Word, Excel), Google Workspace, etc.;

• Ability to work independently and as part of a team;

• Excellent communication, organizational and interpersonal skills;

• Ability to work within a culturally diverse environment;

• Ability to work and handle all duties in a confidential manner;

• Ability to multitask and work under the pressure of deadlines;

• Ability to use a variety of office equipment including; photocopiers, printer and POS machine, etc.

• Must have a valid driver’s license;

• Familiarity with the Occupational Health & Safety Act, its regulations and other health and safety

   Related legislation and standard experience in a service-related environment.
