Lakehead University invites applications from dynamic, creative and enthusiastic professionals to join our team. Reporting to the Vice-Provost, International (VPI), the Administrative Assistant will use excellent communication, customer service and organization skills to provide administrative support to the VPI and the International Relations team. This position acts as an ambassador for Lakehead University International and the VPI, pointing others to information on aspects of university procedures and policies concerning issues relevant to Lakehead University International, internationalization initiatives, partnerships, and global engagement. 

 

DUTIES:

 

  • Manages all forms of communication to administratively support the VPI providing complete customer service;
  • Responsible for projects and provides support to the VPI, International Relations team.
    • Monitors emails to the VPI, responding to those that are within the scope of position and referring others to be addressed by area experts;
    • Supports the Manager, International Relations in the tracking, reconciliation, and payment of travel expenses for the VPI, senior travel and incoming delegation visits;
    • Coordinates travel, manages the VPI’s schedule, prepare correspondence, work directly with the direct reports and direct inquiries to the appropriate department.
    • Supports communications with Lakehead International staff and arrange meetings as requested between the VPI and all direct reports and staff;
      • Fosters a positive and inclusive work environment that supports and promotes a culture where a diverse range of ideas and perspectives are incorporated into decision making

Due to the nature of the position, the ability to work outside of regular office hours to accommodate global time zones, special events, delegation visits and VPI travel is required on occasion.

 

QUALIFICATIONS:

 

  • Post-secondary education in Business Administration or related field;
  • Minimum of 2 years of experience in an administrative support position, preferably in an International Relations or Educational setting;
  • Minimum of 1 year of experience in a senior administrative support position
  • Experience in working as a key contact for international partners, creating professional relationships and maintaining existing partnerships;
  • High degree of skill with Microsoft Office Suite, Google Docs, and office equipment;
  • Strong organizational and interpersonal skills with the ability to multitask, with excellent verbal and written communication skills;
  • Ability to work independently with little supervision in a demanding, high-pressure environment. Respect for a strict code of confidentiality is essential.
