RESIDENCE AND OPERATIONS ASSISTANT

Under general supervision, the incumbent will coordinate maintenance and cleaning work orders, organize, perform and maintain room and key inventories and provide clerical and reception support to Residence Services.  DUTIES:

  • Responds to counter/telephone general inquiries and directs to appropriate offices when required;
  • Sets up appointments with Manager Residence Facilities and Operations, and Residence Life Team as required;
  • Assists with project management including scheduling contractors;
  • Maintains all aspects of the Residence Work Order program including: prioritizing, follow up, updating and circulating information to the appropriate areas;
  • Receives trouble calls and service requests for Residence and responds accordingly including determining the action required in emergency situation as per office procedures;
  • Notifies Residence students, guests and staff of work order related maintenance in Residence areas (ie. water, electrical and mechanical shutdowns);
  • Organizes and coordinates Residence Operations aspects of Residence Check-In and Check-Out;
  • Maintains accurate records of student housing inventories, fire inspections, mold reports, lock changes and pest control;
  • Maintains accurate access control (key inventory and electronic access) for the 1,100 bed Residence facility;
  • Communicates in a professional manner with students, guests, contractors and other members of the public and of the University;
  • Schedules Front Desk part-time staff;
  • Covers duties of Front Desk staff in times of brief absence;
  • Other related duties when required.

 

QUALIFICATIONS:

  • Minimum requirement relevant post-secondary education coupled with a minimum of three years of experience in an office environment;
  • Demonstrated proficiency with PC’s, and various office programs including Microsoft Office (Word, Excel), Google Workspace, etc.;
  • Ability to work independently and as part of a team;
  • Excellent communication, organizational and interpersonal skills
  • Ability to work and handle all duties in a confidential manner;
  • Ability to work with constant interruptions while maintaining preset deadlines;
  • Ability to exercise judgment, take initiative, solve problems, and organize tasks without supervisor input.
  • Must have a valid driver’s license;
  • Familiarity with the Occupational Health & Safety Act, its regulations and other health and safety related legislation and standard experience in a service-related environment.
