Lakehead University invites applications from dynamic, creative and enthusiastic Human Resources professionals to join our team. Reporting to the Associate Vice-President, Human Resources, the Assistant to the AVP & HR will provide administrative support as well as handle special project assignments supporting the Human Resources Management team. This position requires a high level of discretion and confidentiality and the ability to manage relationships both internally and externally. The duties and responsibilities are varied, technical, complex, professional and confidential in nature, and involve a higher degree of initiative and independence and knowledge of the policies and procedures of university-wide functions and operations. Confidentiality, tact and courtesy are imperative for the position in handling staff, faculty, contractors and students.
DUTIES:
Provide confidential administrative support for the AVP Human Resources with the ability to understand and anticipate challenges and be able to manage/reschedule priorities effectively and proactively.
Coordinate travel, manage the Associate Vice-President’s schedule, prepare correspondence, work directly with the direct reports, and direct inquiries to the appropriate department.
Take on specific projects and provide support to the Human Resources department.
Develop communication materials and update the Human Resources website
Proofread complex Human Resources documents; establish and maintain complex filing system; perform research; compile information, draft memos, reports and spreadsheets.
Research and provide recommendations on special projects/assignments.
Assist with organizing invoices and preparing budget related documentation for the Department.
Recruitment support, including distribution of job postings, shortlisting, managing the careers email, and other duties as required
Assist with completion and entering of staff information forms and other employment forms into HRIS, including address changes and resetting email passwords.
Manage the Human Resources office including maintain and order all office equipment and supplies
Reception duties;
Support various Committees, including taking minutes and preparing agendas
QUALIFICATIONS:
Diploma in Office Administration or equivalent post-secondary education; Completion of CHRP designation is highly preferred;
3-5 years of experience in an administrative support position preferably in an HR department;
Skilled at using Microsoft Office programs and office equipment;
Strong organizational and interpersonal skills with the ability to multitask, with excellent verbal and written communication skills.
Experience in a unionized and academic environment would be an advantage.
Working knowledge of applicable legislation including the Occupational Health & Safety Act, Ontario Human Rights Code and Employment Standards Act
Ability to work independently with little supervision in a demanding, high-pressure environment. Respect for a strict code of confidentiality is essential.
