The Administrative Assistant is primarily responsible for providing administrative support to the Chemical, Civil and Mechanical department chairs, Contract Lecturers and students.  This position is the first point of contact for the Department and acts as a liaison between students, staff, and other University departments.  The successful applicant will be responsible for organizing and maintaining various paper and electronic files which may involve confidential information, as well as, handling and preparing sensitive/confidential materials. Organizing meetings, preparing agendas and minutes, and producing and disseminating of meeting material, will be required as needed. The position is also responsible for preparing financial and administrative forms following standard University policies and procedures and will also assist with various administrative tasks within the Office of the Dean and Assistant Dean.

 

The ideal candidate will have a post-secondary education in Business or Office administration along with 3-5 years of administrative assistant experience. Must be proficient with Microsoft Office suite, Colleague/Datatel and have the ability to adapt and learn new systems and software as required. The incumbent must have exceptional organizational, time management, interpersonal and communication skills. The Administrative Assistant must have ability to multitask a variety of high priority duties and work under pressure of deadlines; ability to work with minimal supervision; ability to work with sensitive information and handle all office duties in a confidential manner.
