Office Administrator for Lakehead Legal Services - 1 Year Contract (potential for renewal)
Lakehead Legal Services will be opening its doors in May 2015. Our mandate is to provide excellent legal service to low income clients, as well as an experience based educational program for Lakehead Law students. Our work includes individual case files, teaching, community outreach and public legal education.
We are seeking an energetic, highly organized, flexible, individual with sound judgement, and excellent interpersonal skills, to join the clinic as our Office Administrator. The clinic will be providing legal services for low-income clients, initially, in the areas of criminal law, and provincial offences, with a view to expanding areas of service as time and resources allow. Familiarity with the legal system and experience with the administration of a busy law office environment is essential.
Providing administrative assistance to the Director as needed; screening and referring calls and determining potential eligibility of clients;
Maintaining a database to collect and track statistics;
File management (opening, closing, storing, destruction), and maintaining the clinic's Tickler system;
Identifying and recommending changes to clinic policies or procedures as required to maximize office efficiencies and effectiveness;
Liaising with the Director and Administrative Manager to monitor and track clinic income and expenses, as well as, budget related issues and submissions, and day to day financial transactions of the clinic;
Providing ongoing support and direction to students on administrative and office practices and procedures;
A post-secondary school degree or diploma preferred with at least 5 years experience in a law-office or similar legal environment;
High level of proficiency with all Microsoft office software including Outlook, Word, and Excel;
A proven ability to balance multiple and competing priorities, and ability to work independently and as a part of a team;
A demonstrated ability in serving low-income clients and persons with disabilities in a respectful and sensitive manner;
Diplomacy and discretion when dealing with sensitive and confidential matters;
Experience with budgeting / financial management;
