ADMINISTRATIVE ASSISTANT
Aboriginal Education -  Part-time
Faculty of Education

COPE, Level 6

($23.21 to $26.76 per hour)


Under general supervision, the incumbent will provide support to key stakeholders and program areas including the Chair, staff, lecturers, and faculty members and program areas including support to the Native Language Instructors program (NLIP), Honours Bachelor of Education (HBEd), Native Teacher Education Program (NTEP) and Native Language Teacher Training (NLTT).  The following is a brief outline of the responsibilities.

Duties:

 

  • provide general administrative assistance (e.g. correspondence, confidential reports and proposals, budget monitoring, composing memos/letters/forms, advertisements and promotional pieces, compiling reports and statistical data;
  • maintain related file systems and databases;
  • assist in planning and organizing special events and projects;
  • interact with Aboriginal/Indigenous communities, organizations and institutions locally, nationally and internationally;
  • organize and maintain the office filling system;
  • maintain the Aboriginal Education website;
  • schedule appointments, meetings, events and make travel arrangements;
  • respond to telephone/e-mail/walk-in inquiries;
  • coordinate proposals and reports to Aboriginal funding agencies;
  • perform other related duties as required.


Qualifications:

 

  • post secondary education along with 1-2 years of related administrative assistant experience preferred;
  • experience working with Aboriginal people, and fluency in an Aboriginal language would be an asset;
  • knowledge of Aboriginal communities, organizations, cultures, languages and protocols is an asset;
  • proficiency with PCs and various computer programs, including MS Office, Filemaker Pro, and familiarity with Datatel Colleague systems and graphics expertise an asset;
  • excellent oral and written communication, organizational and interpersonal skills;
  • understanding of budget processes;
  • ability to work and handle all office duties in a confidential manner;
  • ability to multitask a variety of high priority duties and work under pressure of deadlines and frequent interruptions;
  • ability to work independently;
  • familiarity with university policies, procedures (Collective agreement, Calendar regulations, Senate policies, etc.).
