Front Desk Assistant (Part-Time)
Residence and Conference Services
April 2020 - September 2020 (16 - 35 hours per week)
September 2020 - April 2021 (8 - 16 hours per week)
The Residence Conference Services Front Desk Assistant will provide assistance and support to students and conference guests and will be responsible for ensuring Front Desk and/or Conference Service operations are completed in an efficient, professional and timely manner.
Duties and Responsibilities:
Enthusiastically greet and welcome guests at each instance;
Ensure that meeting rooms have been prepared for Conference clients - Assist and verify events including room set-ups, catering standards, directional signage (creation, pick-up, set-up, take-down), distributing parking passes, audio visual equipment, etc...;
Accompany/assist conference guests throughout the conference/event;
Act as an information source for all guests/clients;
Register Conference/Hotel guests, assign rooms and prepare keys;
Settle invoices using credit cards, debit cards and cash;
Greet clients, provide information and respond to inquiries in an efficient and professional manner;
Responsible for a cash float and follow accurate daily transaction procedures in compliance with policies and payment procedures
Assist guests with reservations and reservation inquiries, check in and out;
Prepare and submit reports;
Answer the phone, take messages, respond to general inquiries;
Transfer calls/inquiries to appropriate offices within the department or University;
Communicate pertinent shift information to team members both verbally and in writing via shift reports;
Clean, organize, and maintain Front Desk, Lobby, etc... ;
Document all maintenance related requests in the Work Order system and deliver to the custodial supervisor in a timely manner;
Limited travel to community events within Simcoe County;
Perform all other related duties as required
Must be able to work flexible hours, primarily evening and weekends as well as occasional overnight shifts (approx. 2 per month);
Must be able to deal courteously and effectively with staff and guests;
Must have a strong sense of professionalism and excellent public relations skills;
Ability to exercise tact, judgment and initiative;
Demonstrate the ability to maintain professional composure at all times, while performing multiple tasks among staff, multiple guests/multiple items/products
Outstanding attention to detail;
Excellent organizational and time management skills and the ability to work under pressure;
Ability to work cooperatively within a team setting to anticipate and assist to another Associate’s guest’s needs;
Ability to quickly respond to changing work volume with high-energy level and speed;
Demonstrated ability with computers (Microsoft Office, Google Drive and the Internet);
Able to operate and troubleshoot basic audio-visual equipment;
Excellent verbal and written communication skills;
Must be comfortable and proficient when dealing with cash, credit and debit cards;
Ability to maintain strict confidentiality
Previous experience as a Lakehead Orillia residence student, Residence Assistant or House Presidentis an asset;
Previous experience in customer service and/or hospitality is an asset;
Prompt and regular attendance;
Comply with professional behavior, grooming and hygiene standards;
Candidates able to live on-campus throughout the duration of the contract period will be provided complimentary accommodation and access to a kitchen. Candidates living on-site will receive an additional stipend in exchange for responding to overnight emergencies. Selected candidates will be provided with more information.
Mandatory training for all successful candidates will take place April 20 - May 8, 2020.
