The Special Events Coordinator and Administrative Assistant will be accountable to the Director, Office of Research Services and provide support for all activities under their area of responsibility including planning and support of Research Services events and workshops and other administrative duties in support of the unit’s mandate and objectives.

The Administrative Assistant will assist the Office of Research Services by carrying out a wide variety of activities including, but not limited to, planning and organizing Research and Innovation Week events, and workshops, as well as providing administrative support to Research Facilitators and other staff in the Office of Research Services (ie., organizing meetings, preparing agendas, taking and transcribing minutes of meetings, coordinating travel and processing travel expense statements (knowledge of Concur travel system is an asset), coordinating arrangements for visitors to the university, and assisting the Grants Officer with updating and maintaining the Research Services website.  With regards to planning Research and Innovation Week, the incumbent will be responsible for fundraising, budgeting, communications between the Office of Research Services and all members of the Research and Innovation Week Planning Committee, faculty members, external community partners, vendors and sponsors. The incumbent will provide administrative support for the Chair, Research and Innovation Week Planning committee including scheduling, meeting arrangements/logistics and minute taking at meetings. He or she will also assist in providing logistical support to the planning and scheduling of professional development workshops and information sessions hosted by the Office of Research Services.

The successful incumbent is expected to have relevant post-secondary education, relevant experience, including event planning, and administrative experience.  The incumbent shall demonstrate critical and analytical thinking abilities, have strong inter-personal skills, excellent written and verbal communication, and organizational skills.  Proficiency with PC computers (Windows 10; MS Office 2016, etc.) is required. Typical interactions include communication and collaboration with the Research and Innovation Week Planning Committee, Vice-President, Research and Innovation, Research Facilitators, Faculty Deans, Orillia Research Facilitator, other administrative staff in the ORS, Administrative Officers (Research Services and EDI office), vendors, sponsors and community partners.  The starting date for this position is no later than October 15, 2019.
