Reporting to Lakehead's General Counsel and University Secretary (GC-US), the Legal Assistant will provide legal assistant, law clerk services, clerical support, and act as executive assistant to the GC-US.  A detailed job fact sheet is available upon request.  Specific duties include supporting the GC-US by:

— keeping the University's legal matters organized by establishing and organizing files, monitoring calendars, meeting deadlines, documenting actions, and inputting information into file database and case management software;

— maintaining contact with people involved in legal matters and communicating progress assist the University Secretariat team occasionally with corporate and governance responsibilities;

— working with managers in other University departments, to draft and review standard Lakehead contracts for approval by the GC-US;

— meeting preparation, hearing/trial preparation, drafting of minutes, searches, and analysis of legal and other requirements in Canada;

— processing and handling highly confidential information;

— organizing evidence and taking notes during proceedings and hearings;

— managing the GC-US's calendar and schedules including monitoring meeting dates, assist in setting up and organizing meetings and appointments, arranging hotel, travel and expenses with respect to travel and processing expenses for reimbursement; and

— processing of legal invoices for payment, maintaining a record of invoice information.

The successful candidate has a college diploma in Legal Assisting or university degree in a related field coupled with at least two (2) years of legal assistant, legal secretary or law clerk experience in an in-house or law firm environment.  You also have knowledge of the rules of civil procedure, and experience with legal file management, organizing and managing large amounts of documents, and legal communications and writing. You possess advanced level computer skills, including MS Word and Excel. Experience working with corporate legal computer software and websites would be an asset. You also possess excellent analytical, organizational, time management and multitasking skills and the ability to work effectively under pressure, manage multiple priorities, and meet deadlines.  Extreme discretion and the highest levels of integrity, trust and maturity, attention to detail and good judgment, high level of initiative, excellent comprehension of legal terminology, and an ability to interact well with people at all levels of the University are essential.
